Essential Job Functions:
Assists line managers/HODS in various tasks (e.g. office time management, HR matters, travelling management, Administrative tasks etc.) for the purpose of supporting in the performance of their functions.
Composes and maintains documents (e.g. correspondence, agendas, minutes, Office records/reports, etc.) for the purpose communicating information to staff and office records etc.
Coordinates schedules with office staff and provide support to HOD’s for the purpose of organizing work day.
Monitors assigned activities (program schedules, critical timelines etc.) for the purpose of ensuring compliance with /or customer and administrative requirements.
Performs record keeping and support functions, scheduling, copying, etc. for the purpose of supporting the HODs in performing their functions.
Processes documents and material (e.g. schedules, agendas, mail, etc.)for the purpose of disseminating information to appropriate resources as required Responds to enquiries of staff for the purpose of providing information and/or direction as may be required.
Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
Attends meetings (e.g. procedure updates training schedules/records etc.) as assigned for the purpose of conveying and/or gathering information required to perform functions.
Handling Telephonic and Walk-in enquiries if Front Desk officer is busy with other Lines of Communication
Special Requirements
Occasional flexibility to work in other roles as required especially providing back up in the absence of Front Desk Officer and Executive Assistant to CEO Responsible for the travelling plan of CEO and his family ISO documentation and procedures
